Collecting client email addresses
I am often asked is there a “best practice” for collecting email addresses. Here’s my suggestions…
1. Make it a requirement. Require that EVERY time a customer record is looked at in your contact management system, that the email address is looked at and verified; e.g., “Mr. Dorgan, we show your email address to be kevin@xyz.com, is that still your preferred email address?”
2. Quality check. Advise your staff that once a month you will be doing a Quality Review. Then do just that. Look at the last 10 contacts of each staff member and see if there is an email address in record. If there’s not an email address, then there must be a comment made that the customer was asked but either didn’t want to provide or does not have one. Then review the results with each staff. This lets them know you are serious about the requirement.
Might also want to consder an initial incentive; e.g., 50 cents an email address for the next 30 days. Or even make it a contest. An incentive can help to make it a habit.
How to find your clients on Facebook using their email address
- Create a spreadsheet of all your email addresses. The spreadsheet should only contain a column for email addresses. Remove all other columns.
- Save your spreadsheet as a “.csv” file (choose “file”, then “save as” and select the .csv file format).
- Log into Facebook.
- Select “Friends” beneath your profile picture.
- Select “Find Friends”.
- Select “Other Tools” –“Find Friends”
- Select “Choose File”. Go to the email list file you saved on your computer.
- Select “Upload Contacts”. Facebook will display the pictures and names of all Facebook accounts associated with the email address you uploaded. Note: Some of your clients may be using other email addresses for their Facebook accounts.
- To keep a record of these, open a text document or a blank Word document. Note: a text document is needed for step 12. If you don’t know what a text document is, search your computer for all files ending in “.txt”. Open one of them up and select “file” then “new” to have a blank text document.
- Go to your Facebook display of friends found. Take your mouse and begin at the first friend, hold your left mouse click down and scroll through all of your friends. With all of your friends highlighted, on your keyboard select “Control” and the letter “c” (this is the “copy” command”).
- Now to go to your text document and “paste”: “Control” and the letter “v” or use the menu options at the top of the text document and select paste.
- To save these into a spreadsheet (open a new spreadsheet and select “data” then select “import” and select “text”.) Now cleanup all data except the email addresses. You now have an email list of all clients who have Facebook accounts.
Fixing a Facebook quirk on your personal profile
There is a Facebook quirk that I finally figured out (after I realized I had the problem…and you probably do too!). On your personal profile it will show your employer and have a link, but the link goes to a bogus FB community page instead of your FB business page (or your employer’s Facebook page). To change it you need to edit your employer profile section and delete ALL employers then type in the name of your business page EXACTLY as it shows on Facebook. So for me it was “Kevin Dorgan Internet Consulting”. Now the link goes to my business FB page!

Express it with a “heart” symbol. Using the ALT key and your numeric keypad together (that’s the number keypads on the right hand side of your keyboard, not the numbers on top of your keyboard or laptop), press the ALT key and the number 3 key at the same time to create ♥. Getting Facebook Spam?
If you have a business page be sure you are getting notified when people post on your wall. I have had to delete numerous spam posts from the pages I manage. You should remove the post and “ban” the spammer from your page. You do this by putting your mouse on the right side of the post & there are Facebook options for removing/banning.
